International Air Freight Quote: What to Know Before You Ship by Air

In today’s fast-paced global trade environment, speed matters more than ever. Whether you’re shipping high-value electronics or perishable goods, air freight offers unmatched speed and reliability. But one of the most common stumbling blocks for businesses new to this mode of transport is understanding the international air freight quote.

What goes into the cost? How can you ensure you’re not overpaying? And what are the steps to secure a quote that truly reflects your shipping needs?

This guide breaks it all down for you.

What Is an International Air Freight Quote?

An international air freight quote is an estimate provided by a freight forwarder or air cargo carrier detailing the cost of transporting goods by air from one country to another.

It typically includes:

• Freight charges (based on weight or volume)
• Fuel surcharges
• Security fees
• Airport handling fees
• Customs brokerage
• Delivery to/from the airport (if applicable)

Understanding these components is key to evaluating and comparing quotes.

Why Choose Air Freight?

Here are some reasons businesses opt for air freight over sea or land options:

• Speed: Delivery times of 1–5 days globally
• Reliability: Fixed schedules and fewer transit disruptions
• Security: Less handling reduces the risk of damage
• Ideal for time-sensitive and high-value goods

However, this speed comes at a price, literally. Air freight is generally more expensive than other options.

What Affects the Cost of an Air Freight Quote?

Several factors influence your international air freight quote:

1. Weight and Volume (Chargeable Weight)

Air freight is priced based on chargeable weight, which is either:

• The actual gross weight (kg/lb)
• Or the volumetric weight (length x width x height ÷ 6000)

Whichever is greater will be used for pricing.

2. Origin and Destination Airports

Rates vary by region. Busy international airports generally have better rates and availability than smaller or regional terminals.

3. Type of Cargo

Hazardous, oversized, or temperature-sensitive goods often incur extra fees.

4. Service Type

• Door-to-door: Includes pickup and delivery
• Airport-to-airport: More affordable, but less convenient

5. Customs and Duties

While not always included in the initial quote, these costs can significantly impact your total shipping expense.

How to Get an Accurate International Air Freight Quote

To get the most accurate quote:

1. Provide Complete Shipment Details

Include:

• Dimensions and weight of each package
• Pickup and delivery addresses
• Type of goods and HS codes
• Required delivery timeline

2. Ask for Itemized Costs

Ensure transparency by requesting a detailed breakdown of charges. This helps avoid surprises later on.

3. Verify Inclusions

Ask whether the quote includes fuel surcharges, security fees, and customs brokerage.

4. Compare Multiple Quotes

Get quotes from at least 2–3 forwarders or platforms like Freightos or Flexport to benchmark pricing and service.

5. Work with Experienced Freight Forwarders

Reputable providers not only offer fair pricing but can also help optimize shipping routes and avoid customs delays.

Hidden Costs to Watch For

While getting your quote, keep an eye out for these potential hidden fees:

• Terminal handling charges (THC)
• Cargo screening and security surcharges
• Demurrage/storage if delays occur
• Remote area surcharges for inland deliveries

Always clarify if these are included or billed separately.

Case Study: A Smooth Shipment to the U.S.

Imagine a small electronics business in Germany shipping a high-value prototype to a tech company in San Francisco. Using an experienced air freight forwarder:

• They submitted accurate product details and packaging specs.
• Got a detailed quote within 3 hours.
• The shipment was picked up, cleared customs, and delivered in 4 days.
• The total cost was 20% less than their previous shipment using a courier.

This highlights the importance of planning, accuracy, and working with the right partners.

Tips to Save on Air Freight

• Consolidate shipments to reduce per-unit costs
• Book early to avoid rush charges
• Choose airport-to-airport if you have the logistics support
• Negotiate rates if you ship frequently

Conclusion: Take the Guesswork Out of Your Quote

Securing an accurate international air freight quote requires more than a quick online form. It demands clarity, transparency, and the right partners.

By understanding the variables that affect pricing, knowing what to ask, and choosing experienced freight forwarders, you can simplify the process and avoid costly surprises.

So the next time you need to ship by air, do it smarter. Start with a solid quote, and build from there.
